In this case study, we'll look at a chatbot for a cosmetology clinic that handles several important tasks:

  • collects and grows the subscriber base through referral programs

  • increases sales through a well-built funnel

  • collects feedback and tracks statistics on requests and other metrics.

After a well-known social network was blocked, many beauty businesses started thinking about moving to Telegram. The company wanted to:

  • grow its presence on Telegram

  • collect booking requests and keep clients informed about the clinic's promotions

  • attract new subscribers and build a feedback workflow

Artem, a chatbot developer who works with the puzzlebot Constructor, suggested implementing several solutions at once, and they proved highly effective

The chatbot scenario includes

✅ Added a subscription bonus and a powerful lead magnet
When users subscribe to the Telegram bot, they get a welcome bonus they can spend on the clinic's services. The subscription gift does two jobs: it works as a lead magnet, which raises the subscription conversion rate, and it supports the referral program (more on that below). The bonus can only be claimed on the first launch of the bot.

✅ Set up quick access to key sections in the menu: created cards describing all the services, specialists and promotions

✅ Cut the time it takes a client to submit a request
After browsing the clinic's offers, a subscriber can book a procedure in just a couple of clicks. All requests instantly go to a private group with the center's administrators and managers. This makes it possible to respond quickly and keep feedback under control.

✅ Automated review collection
Collecting reviews manually is routine work. The bot automates this process.

Once a negative review is posted, it's hard to deal with and almost impossible to remove. To prevent this, Artem builds review control into his projects. This mechanic helps a business climb faster in map ratings and get more clients.

If a client is unhappy, they leave a review inside the bot, and the administrators handle it. If the rating is positive, the client is invited to post a review on the ProDoctorov portal

✅ Set up automated broadcasts to increase request conversion

A subscriber might get distracted, forget to fill out the request, or not find a good moment to look through the services. So the bot takes on the role of a manager who sends reminders. The broadcasts also tell subscribers about promotions, the chance to book a procedure or a free consultation, and gifts for leaving a review or recommending the clinic.

✅ Set up automatic tracking of user activity in the bot. To understand what's going on and "keep a finger on the pulse", the bot sends a report to the connected group with the number of requests, new subscribers and other metrics.

✅ Attracting new subscribers with the built-in referral system. At a certain stage, the bot invites the subscriber to bring friends in exchange for bonuses. An extra incentive is that invited friends also get a gift when they first launch the bot.

Conclusion

The bot's promotion budget was RUB 0: it was advertised only on the company's other social media and via QR codes in the salon. At the time of writing, the bot already has 120 subscribers, 9 of whom have booked a free consultation and 33 a procedure at the clinic.

This high conversion rate comes down to two factors:

  • At first, the bot was promoted to an audience already familiar with the company, a warm and/or hot target audience.

  • The sales funnel in the bot helped "warm up" leads further with bonuses, discounts, reminders to use the salon's services and so on.
